Costing an AI project – the items people usually miss

When budgeting for AI, many businesses only count the tool subscription. In reality there are at least five cost groups.

How to estimate the benefit

Take the hours a task consumes each month, multiply by the hourly staff cost, then estimate the share AI could cut. Be cautious: assume a low reduction the first time, measure reality after the pilot, then adjust.

How to keep costs under control

  • Start with one task and one small team.
  • Set a monthly spending cap for usage-based tools.
  • Review the list of accounts every quarter and cancel plans nobody uses.
  • Only scale up when the numbers show it works.
